Privacy Policy
Effective date: September 21, 2026
This Privacy Policy explains how Merakiops LLC ("Merakiops", "we", "us") collects, uses and shares personal information when you visit merakiops.com (the "Site"), book a call with us, subscribe to our newsletter, or otherwise get in touch.
Merakiops is an AI automation agency that works with businesses. The Site is intended for business owners and professionals acting for their company. It is not intended for consumers or for anyone under 18.
This policy covers the Site and our sales and marketing activity. When we work for a client, we handle the data in that client's systems on the client's behalf, under our signed Service Agreement with them, not under this policy.

1. Information we collect
Information you give us
- Contact form: your name, role, company name and website, work email, phone number, and your answers about your agency, its tools and what you want to automate. The form is provided by Typeform and appears when you click "Contact us".
- Booking a call: your name, email, time zone, the answers you give to the booking questions, and any guests you add.
- Newsletter: your email address and, if you provide it, your name.
- Calls and meetings: what you tell us during the call. We record and transcribe our calls (see section 4).
- Emails, texts and phone calls you exchange with us.
- Testimonials: your name, company, role and words, which we publish only with your permission.
Information collected automatically
- Cookies and tracking: the Site uses the HubSpot tracking code. It sets cookies that recognise your browser, record the pages you view and how you arrived at the Site, and, once you submit a form or click a link in one of our emails, connect that activity to your contact record. See section 5.
- Technical data: IP address, approximate location derived from it, browser and device type, referring page, and date and time of requests. Our hosting provider processes this data to deliver and secure the Site.
- Email engagement: whether a newsletter email was delivered, opened or clicked.
We do not use Google Analytics, advertising pixels, or session-recording tools on the Site.
Information from other sources
We may add publicly available business information to your contact record, such as your company's website, your role, and your public professional profile.
We do not ask for, and ask you not to send us, sensitive information such as health data, government identification numbers or payment card details through the Site.
2. How we use your information
- To reply to your enquiry and to schedule, hold and follow up on calls.
- To prepare proposals and enter into an agreement with your business.
- To send our newsletter and other marketing emails, where you have subscribed or where the law otherwise allows it. You can unsubscribe at any time.
- To call or text you about your enquiry, where you have given us your number for that purpose (see section 3).
- To keep a record of our relationship with you in our CRM.
- To understand which pages and content are useful, and to improve the Site.
- To keep the Site secure and to prevent abuse and spam.
- To comply with legal obligations and to establish or defend legal claims.
We do not make decisions about you by solely automated means that have legal or similarly significant effects.
Legal bases (for visitors in the EEA, UK and Switzerland). We rely on: your consent (non-essential cookies, newsletter signup, text messages); our legitimate interests in running and growing a business-to-business agency, replying to enquiries, keeping records of calls and securing the Site; steps taken at your request before entering into a contract; and legal obligation. Where we rely on consent, you can withdraw it at any time.
3. Phone calls and text messages
If you give us your phone number, we may call you about your enquiry. We will send you text messages only if you have agreed to receive them. Message frequency varies. Message and data rates may apply. Reply STOP to any text to opt out, or HELP for help. Consent to receive texts is not a condition of buying anything from us.
We do not sell, rent or share your mobile phone number or your text-messaging consent with third parties or affiliates for their marketing purposes. Mobile information is shared only with the service providers that deliver our calls and messages on our behalf.
4. Call recording
We record and transcribe our video and phone calls, using an AI note-taking tool, for quality, accuracy of our notes, and training. The recording tool joins the call visibly and you will be told that the call is being recorded at the time of booking or at the start of the call. If you do not want a call to be recorded, tell us before or at the start of the call and we will switch recording off.
5. Cookies
The Site uses:
- Essential cookies, needed for the Site and the cookie banner to work and to remember your cookie choice.
- HubSpot analytics and marketing cookies, described in section 1. These are not essential.
Where the law requires it, including for visitors in the EEA, the UK and Switzerland, non-essential cookies are set only after you accept them in the cookie banner. You can change or withdraw your choice at any time through the cookie settings link on the Site, and you can block or delete cookies in your browser settings. The Site works without them.
6. Who we share information with
We do not sell your personal information, and we do not share it for cross-context behavioural advertising.
We share personal information only with:
- Service providers that process it on our behalf, under contract, to run our business:
- Typeform: the contact form
- HubSpot: CRM and tracking code
- Zcal: call scheduling
- Vercel: website hosting
- Google Workspace: email, calendar and documents
- Fathom: call recording and transcription
- Quo: business phone calls and text messages
- Resend: newsletter and email delivery
- Professional advisers such as lawyers and accountants, where needed.
- Authorities or other parties where required by law, or where needed to protect our rights, our clients or others.
- A successor business, if Merakiops is reorganised or sold, in which case this policy continues to apply to your information.
7. International transfers
Merakiops is based in the United States, and our service providers process data in the United States and other countries. If you are in the EEA, the UK, Switzerland or Canada, your information will be transferred to and processed in countries whose data protection laws may differ from yours. Where required, these transfers are covered by appropriate safeguards, such as the European Commission's Standard Contractual Clauses, the UK addendum, or the provider's certification under the EU-U.S. Data Privacy Framework. You can ask us for details at privacy@merakiops.com.
8. How long we keep information
- Enquiries and contact records: for as long as we have an ongoing business relationship or conversation, and up to three (3) years after the last meaningful contact.
- Newsletter: until you unsubscribe. After that we keep only your email address on a suppression list so that we do not email you again.
- Call recordings and transcripts: up to two (2) years, unless you become a client, in which case they are kept with the project records.
- Records we must keep by law, such as contracts and invoices: for the period the law requires.
We delete or anonymise information when we no longer need it.
9. Your rights
Depending on where you live, you may have the right to:
- access the personal information we hold about you and receive a copy of it;
- correct inaccurate information;
- have your information deleted;
- object to or restrict certain processing, including direct marketing;
- withdraw consent at any time, without affecting what was done before you withdrew it;
- receive your information in a portable format;
- lodge a complaint with your data protection authority. In the EEA this is the authority in your country; in the UK, the Information Commissioner's Office; in Canada, the Office of the Privacy Commissioner of Canada or your provincial regulator.
To exercise any right, email privacy@merakiops.com. We will respond within the time the law requires, normally within 30 days. We may need to verify your identity first. We will not treat you differently for exercising your rights.
To stop marketing emails, use the unsubscribe link in any email. To stop texts, reply STOP.
United States residents. We do not sell personal information and do not share it for cross-context behavioural advertising. Residents of states with privacy laws that apply to us may use the rights above and may appeal a decision by replying to our response.
10. Security
We use reasonable technical and organisational measures to protect personal information, including encryption in transit, access controls, and limiting access to the people who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
11. Children
The Site is for businesses. It is not directed to children, and we do not knowingly collect personal information from anyone under 18. If you believe a child has given us personal information, email privacy@merakiops.com and we will delete it.
12. Links to other sites
The Site links to third-party sites and tools, such as our scheduling page and social media profiles. Their privacy practices are their own, and we encourage you to read their policies.
13. Changes to this policy
We may update this policy from time to time. We will post the new version here and change the effective date. If a change is significant, we will give more prominent notice on the Site or by email.
